COMMITTEE MEETING MINUTES NOVEMBER 9th 2016
Present:
Jo Jefferies, John Colquhoun, John Woodman, Dennis Davey, Jim Frape, Alan Gibbs, Colin Rufus, Jan Bonus
Apologies:

In the absence of Julia, John Woodman was asked to chair the meeting.
Minutes of Previous Meeting:
These were accepted as a correct record and signed by Jan (Sec)
Matters Arising:
Actions:
1.Ball court notice re use of bin, John C has made notices for inside reminding users to take their rubbish home, and one for the ball court stating that bin is for ball court use only.
2. Contact local schools about ball court use and bin. Jan has done this.
3. Ramp. Notaro explained to Jim how this can be done and he will do this.
4. Jim & Warren have replaced the majority of the missing broken strips and now have to purchase some for the remainder. They are going to replace a post as well. We would like to thank Jim & Warren for doing this.
5. Replacement front doors and back fire door and repair of other fire doors. Three quotes were obtained and it was decided to take up the quote from Paul Case a local man who will also do the repairs to the two fire doors free.
6. Phone bills as one. This was sorted when the internet went down and BT decided we had the wrong router, our contract was out as well. A new router was duly ordered and a new contract negotiated. All bills will now be one, and the new contract is cheaper than the last.
7. Jo got a quote from KG Gardening to sort and tidy the garden £370 and this was accepted by the committee.
Chairman’s Report:
Mike in Australia and Julia not at meeting so report deferred to next meeting.
Treasurer’s Report:
Main account £20,227.31
Buildings account £2763.57
£2000 was moved from the main account to buildings to cover the cost of the doors and the garden work.
Jo will be investigating alternative energy suppliers to see if we can get cheaper supply and both services from one supplier. John W suggested looking at Money Supermarket and Jan suggested OVO
Correspondence/emails:
The zone have been in contact re food they put in the fridge disappearing. Mike dealt with this and wrote a fridge/food safety document, which is now displayed on the fridge in the main kitchen.
Grant Applications, Progress:
The bid for funding for replacing all lights has been completed and sent off to the Gannet Foundation. They did notify Jan that they had received them and we are now waiting to hear further.
Policy for Children:
Mike’s document was discussed, a proposal by Dennis D and seconded by John W that we approach Somerset County Council to see if we need a full policy or just to ensure each user group with children and vulnerable adults has one and that their volunteers are DRB checked. Action: Jan
Freezer:
We have been asked by a group if they can have a freezer. This was discussed fully. There is no space for one, and it would be an extra electricity charge. It was decided that this was not a request we could grant, proposed by Jo, seconded by Dennis and carried unanimously
Shared Development Worker:
We have had a request from Richard Matthews at Moreland Hall asking if we would consider sharing with them a paid development worker. This would be for five hours a week at minimum wage. John W informed the meeting he is a trustee of the Moreland Hall and volunteered to leave the meeting, all were happy for him to stay and continue to chair the meeting. After discussion it was decided that at this present time we do not need this. Proposed, Dennis, seconded John C, carried unanimously.
User Group Reports:
None received for this meeting.
Any Other Business:
Church Group, Alan asked if it will be ok to have Christmas crib figures in the entrance hall. This was agreed unanimously. The Christmas Carol Service will be 18th December at 10.30 am followed by coffee and cake. As the football club no longer appear to be using our facilities it was agreed the Church can use the Training Room if it is empty, they will of course inform us if they do.
Dream Scheme Equipment:
This has been divided between the Zone and Monday Club
Rear Fire Door Access:
Jim will do this, Jo will get her group to come and look and estimate
Garden Keys:
Jo will be absent for three weeks from the end of December and will give a garden key to the lads who will be doing the work, this is because of the weather they can’t guarantee a specific day to do the work.
